How to Pick the Perfect Wedding Date Without the Stress

You just got engaged. You are staring at your beautiful new ring, snapping photos from every angle, and sharing the happy news with your closest family and friends. It is a thrilling, emotional high. But almost immediately, you will hear the exact same question from everyone you talk to.

If you are like most newly engaged couples, you probably have no idea yet. That is completely normal. Choosing a wedding date is one of the very first major decisions you will make in your planning journey. It is also the decision that dictates almost everything else, from your venue and vendor availability to your overall budget.

Hi, I am Diane. My husband Glenn and I own All4One Farms, a family-operated wedding venue right here in Jacksonville. Since we opened our farm to couples in 2017, we have guided hundreds of newly engaged pairs through the early stages of planning. I know how overwhelming a blank calendar can look.

To help you narrow down your options, I have put together a simple, step-by-step guide to choosing your perfect wedding date. Let us take the stress out of the calendar so you can get back to celebrating your engagement.

Step 1: Prioritize Your VIPs

Before you look at seasons, holidays, or vendor availability, you need to look at your closest circle. Every couple has a list of VIPs. These are the people you absolutely cannot imagine getting married without.

This list usually includes your parents, siblings, and your future bridal party. Sit down with your partner and identify these key players. Once you have your list, reach out to them and ask about any major conflicts over the next year or two.

Are your best friends expecting a baby in the spring? Does your sister have a massive work conference every October? Does your father have a pre-planned anniversary trip next summer? Gather these blackout dates first. You do not want to fall in love with a date only to realize your maid of honor cannot make it.

Step 2: Decode the Seasons and Weather

 

Once you have your VIP blackout dates, think about the atmosphere you want. The season you choose sets the tone for your entire celebration. Because our venue is located in North Florida, we talk to couples about weather all the time.

The Magic of Spring and Fall

Spring and fall are peak wedding seasons for a reason. The weather is generally mild, the humidity drops, and the natural scenery is stunning. If you envision an outdoor ceremony or a garden reception, these are your prime months. March, April, October, and November are incredibly popular. Because these dates are highly sought after, you will need to book your venue well in advance.

Navigating Summer and Winter

Summer weddings offer long days and lush, green landscapes. However, in Florida, you must plan for the heat and the possibility of afternoon showers. If you choose a summer date, look for a venue with a solid rain plan and excellent shade. At All4One Farms, our open-air barn provides beautiful coverage from the elements.

Winter weddings can be incredibly romantic. January and February often bring crisp, cool air that is perfect for gathering around a fire pit. These months can also be slightly less competitive for booking your favorite vendors.

Step 3: Check Your Personal Calendar

Now it is time to look at your own lives. Wedding planning takes time, and you want to ensure your wedding date does not clash with other stressful life events.

Look closely at your work and school schedules. Are you an accountant who works insane hours in April? Are you a teacher who finds September completely exhausting? Avoid scheduling your wedding right in the middle of your busiest professional seasons. You want to feel relaxed and present leading up to your big day, not frantic and burned out.

You should also consider your physical location. If you are planning to move or buy a house in the next twelve months, give yourself a buffer. Trying to move and finalize wedding details in the same month is a recipe for serious stress.

Step 4: Watch Out for Major Holidays

Holiday weekends can be a double-edged sword for weddings. On one hand, three-day weekends like Memorial Day or Labor Day give your out-of-town guests extra time to travel.

On the other hand, holidays can make everything more expensive. Travel costs skyrocket, hotel blocks fill up faster, and some vendors charge premium rates. You also risk guests declining your invitation because they have standing annual traditions with their own families.

Be sure to check the calendar for major religious holidays, Mother’s Day, Father’s Day, and major local events. For example, in Jacksonville, a massive football weekend can completely book up local hotels, leaving your guests scrambling for accommodations.

Step 5: Let Your Budget Lead the Way

Your wedding date has a direct impact on your budget. As you narrow down your ideal timeframe, keep your financial goals in mind.

Peak season dates (like Saturdays in October or April) will always be the most competitive. Because demand is so high, venues and vendors often charge their standard or premium rates. If you have your heart set on a peak date, you might need to adjust your budget or book an extra year in advance to secure your spot.

If your budget is tight, consider a Friday or Sunday wedding. Many venues offer reduced rental fees for non-Saturday events. You might also find better pricing if you choose a date in a slightly slower month, like July or January. Being flexible with your date is one of the easiest ways to keep your budget on track.

Step 6: Align With Your Dream Venue

You have considered your VIPs, the weather, your work schedule, and your budget. You probably have a specific month or a cluster of dates in mind. Now comes the most important step: checking with your venue.

You do not officially have a wedding date until you sign a contract with a venue. This is why we always tell newly engaged couples not to print anything or send save-the-dates until the venue is officially booked.

When you find a venue you love, ask for their availability immediately. If you are flexible and bring two or three potential dates to your venue tour, you are much more likely to secure a spot that works perfectly for you. We keep our calendar completely transparent, so you can easily view our available dates right from your couch.
