You said yes, popped the champagne, and have probably stared at your left hand about a thousand times by now. First of all, congratulations! Getting engaged is one of the most thrilling milestones in your life. But if you are like most couples, that initial high is quickly followed by a tiny wave of panic. Friends and family are already asking, “So, when is the big day?” and “Where are you getting married?”

If you are newly engaged in Jacksonville, you might feel completely overwhelmed by the sheer number of options and decisions ahead of you.

I completely understand. I’m Diane, and my husband Glenn and I own All4One Farms. We have been hosting weddings on our family property since 2017. Over the years, I have sat down with hundreds of couples who walk onto our farm feeling stressed and confused about where to even begin.

Knowing what to do after getting engaged in Jacksonville does not have to be a mystery. The secret to stress-free Jacksonville wedding planning is tackling tasks in the right order. Because your venue dictates your date, your vendor team, and a large portion of your budget, finding the perfect location is step number one.

To help you navigate this exciting season, I put together the ultimate venue checklist. Follow these steps, and you will set a peaceful, organized foundation for your entire wedding journey.

1. Take a Breath and Enjoy the Moment

Before you dive into spreadsheets and color palettes, pause. So many couples rush straight into planning mode and forget to actually celebrate their engagement. Take at least a week or two to just be engaged. Go on a date night. Share the news with your closest loved ones. Protect your peace. The wedding industry will still be here when you are ready to start planning.

2. Have the “Big Three” Conversation

When you feel ready to start making moves, sit down with your partner and discuss the “Big Three”: Budget, Guest Count, and Vibe. You cannot book a Jacksonville wedding venue without knowing these three factors.

Your Budget: Determine a realistic number you can comfortably spend. Find out if any family members are contributing and exactly how much they plan to give.
Your Guest Count: You do not need an exact list right now, but you need a solid estimate. A venue that comfortably holds 75 people will feel completely different if you try to squeeze in 150.
Your Vibe: Do you want an indoor ballroom, a historic downtown building, or a relaxed, outdoor garden feel? If you envision wide open spaces, beautiful sunsets, and a welcoming atmosphere, an outdoor or farm venue might be your perfect match.

3. Start Your Online Research (The Smart Way)

Now that you have your basic parameters, it is time to look at options. Searching for a venue online can send you down a rabbit hole. Keep your search focused.

Look for venues that practice radical transparency. If a venue hides their pricing or makes you jump through hoops just to see if they fit your budget, that is a red flag. Create a simple spreadsheet for your top five venues. Track their rental fee, what they include (tables, chairs, decor), and their capacity.

4. Check Available Dates Before You Fall in Love

There is nothing more heartbreaking than falling in love with a venue only to find out they are completely booked for the next two years. If you have a specific date or season in mind, check the venue’s availability immediately.

5. Schedule Your Venue Tours

Narrow your list down to three or four venues and schedule in-person tours. Photos on a website can only show you so much. You need to walk the grounds, feel the atmosphere, and meet the people who will be hosting your event.

When you tour a locally owned venue, you usually meet directly with the owners. This personal connection is vital. You want to feel completely comfortable and supported by the team managing your wedding day. Pay attention to how the venue smells, how well the grounds are kept, and whether the flow of the space makes sense for a celebration.

6. Ask the Hard Questions

During your tour, do not just look at the pretty scenery. You need to ask practical, logistical questions to ensure there are no surprises down the road. Bring this mini-checklist with you:

  • What is your rain plan? In Florida, afternoon showers are common. Make sure you love the backup plan just as much as the primary plan. At our farm, our open-air barn provides a beautiful, covered alternative.
  • What is exactly included in the rental fee? Do you have to rent your own tables, chairs, and linens? We include tables, beautiful white Chiavari chairs, antique oak pews for the ceremony, and even a decor closet to save you money.
  • Do we have exclusive access? Find out if there will be other weddings happening on the property at the same time.
  • Can we choose our own vendors? Some venues force you to use their in-house catering, which can skyrocket your budget. We operate on an a la carte model, giving you the freedom to choose the vendors that fit your style and budget.
  • Are there hidden fees? Ask about service charges, taxes, and mandatory insurance.

7. Review the Contract Thoroughly

Once you find the one, ask for the contract. Read it carefully. Look at the payment schedule, the cancellation policy, and the rules regarding alcohol and music. A trustworthy venue will happily walk you through the contract and answer any questions you have without pressuring you to sign on the spot.

8. Secure Your Date and Celebrate (Again!)

When you sign that contract and pay your retainer, take a moment to celebrate! Securing your venue is the biggest hurdle in wedding planning. Once your date and location are locked in, everything else—from securing your photographer to choosing your caterer—will naturally fall into place.
